1.2 Data Collected Automatically
- IP address: collected when you submit a contact form or interact with the chat widget.
- Usage data: pages visited, time on site, click patterns, referral sources, browser type, device type, operating system, and screen resolution, collected via Google Analytics.

1.3 Data We Do Not Collect
We do not collect payment card information, government-issued identification numbers, health data, or biometric data through this website.

- Server logs: your IP address is automatically recorded when you make requests to our servers.

5. Data Sharing & Third Parties
We do not sell your personal data. We share data with the following third-party service providers only as necessary to operate our services:
5.1 Google Analytics (Google LLC)
We use Google Analytics 4 via Google Tag Manager to collect anonymised usage data, including pages visited, session duration, device information, and geographic region. Google may process this data on servers located outside your jurisdiction. Google's privacy policy is available at policies.google.com/privacy.
5.2 OpenAI (OpenAI, L.L.C.)
Our chat widget is powered by OpenAI's GPT-4o-mini model. When you use the chat, your messages (and any personal information you include in them) are sent to OpenAI's API for processing. We do not send your email or name to OpenAI unless you include them in your chat messages. OpenAI's data usage policies are available at openai.com/policies/privacy-policy.
5.3 Email Service (SMTP)
We use Nodemailer with an SMTP provider to send transactional emails. When you submit a contact form, your name, email, and message content are transmitted via our email service to deliver notifications to our team.
5.4 Other Disclosures
We may disclose your personal data if required by law, court order, or government request, or if we believe disclosure is necessary to protect the rights, property, or safety of Travona, our users, or the public.
7. Data Retention
We retain personal data for as long as necessary to fulfil the purposes described in this policy:
- Contact form submissions: retained for up to 24 months from the date of submission, then deleted.
- Chat conversations: retained for up to 12 months, then deleted.
- Questionnaire responses: retained for the duration of the business relationship, plus 12 months following termination.
- Admin accounts: retained for the duration of the account's active use, plus 12 months following deactivation.
- Analytics data: Google Analytics data retention is set to 14 months. Aggregated, non-identifiable data may be retained indefinitely.
- Server logs: IP addresses in server logs are retained for up to 90 days.
8. Your Rights
Under applicable data protection laws, you may have the following rights regarding your personal data:
- Right of access: request a copy of the personal data we hold about you, including the categories, sources, purposes, and third parties with whom it is shared.
- Right to rectification: request correction of inaccurate or incomplete data.

In-country data storage: Where we have arrangements with local data centre providers, your data is stored within the jurisdiction where your property operates. We prioritise in-country hosting to comply with local data protection regulations and to minimise cross-border data transfers.
Third-party services: Certain third-party services we use (such as analytics and AI-powered features) may process data in jurisdictions outside your country of residence. Where such transfers are necessary, we ensure appropriate safeguards are in place, including contractual data protection clauses with our service providers.
